InField Consulting Pty Ltd ("Infield", "we", "us" or "our") respects your privacy. This policy explains how we collect, hold, use and disclose personal information when you visit www.infieldconsulting.co, contact us, take part in our education or consulting services, or otherwise interact with us.

We are an Australian business. We aim to handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles, where they apply to us.

At a glance

We collect the information needed to respond to enquiries, provide AI engineering education and technology delivery services, maintain our business relationship with you, and operate and improve our website. We do not sell or rent personal information. We do not use personal information from the website to make decisions that could significantly affect your rights or interests.

You can ask us to access or correct your personal information, opt out of marketing at any time, or make a privacy complaint by contacting us at hello@infieldconsulting.co.

1. What this policy covers

This policy applies to personal information we handle about:

  • visitors to our website;

  • people who contact us, subscribe to updates, attend an event or enquire about our services;

  • our clients and their representatives; and

  • people who otherwise deal with us in a business capacity.

It does not replace the privacy terms in a client agreement. Where we handle personal information for a client as part of a consulting engagement, the client agreement and the client’s instructions may set out additional responsibilities and controls.

Our website may link to third-party websites or platforms. Their privacy practices are governed by their own policies, not this one.

2. Personal information we collect

The personal information we collect depends on how you interact with us. It may include:

  • your name, role, organisation, email address, telephone number and business address;

  • the contents of an enquiry, feedback, request, meeting note or correspondence you send to us;

  • information relevant to a prospective or current client relationship, including project, training or service requirements;

  • event or education participation details, such as registration, attendance and feedback;

  • transaction and administrative information needed to manage a client relationship; and

  • technical information generated when you use our website, such as IP address, browser type, device and operating-system information, pages viewed, referring page, approximate location derived from IP address, and the date and time of activity.

Please do not send sensitive information through an ordinary website enquiry form unless we have specifically asked for it and provided a suitable method. Sensitive information can include health information, biometric information, government identifiers, racial or ethnic origin, political opinions, religious beliefs, union membership, sexual orientation and criminal-record information.

3. How we collect personal information

We usually collect personal information directly from you when you submit a form, email or call us, register for an event, enter into a client relationship, or otherwise communicate with us.

We may also collect technical information automatically through necessary website technologies. Where permitted by law and relevant to a business relationship, we may receive professional contact details or referral information from your organisation, a colleague, a public professional profile, an event partner or a client.

If you provide personal information about someone else, you must ensure that you are authorised to do so and that the person has been given this policy.

4. Why we use personal information

We may collect, hold, use and disclose personal information to:

  • respond to enquiries and arrange meetings;

  • provide, administer and improve our education, advisory and technology-delivery services;

  • manage client, supplier and professional relationships;

  • organise events, workshops and communications that you have asked to receive;

  • operate, secure, troubleshoot and improve our website and business processes;

  • protect our people, clients, systems, confidential information and legal rights;

  • meet legal, regulatory, accounting and record-keeping obligations; and

  • send relevant business updates where permitted by law and subject to your marketing choices.

We will only use or disclose personal information for another purpose where you consent, where the purpose is related to the reason we collected it and you would reasonably expect that use, or where otherwise permitted or required by law.

5. Artificial intelligence and automated decisions

Infield may use AI-enabled tools to support the delivery and administration of our services. We design our use of these tools to be purposeful and proportionate.

We do not use personal information collected through this website to make decisions that could significantly affect your rights or interests. We do not use website enquiry information to determine eligibility for employment, credit, insurance, housing, healthcare, legal services or another similarly significant outcome.

For client work, we will not use client-provided personal information or confidential project material to train a public or third-party general-purpose AI model unless the client has expressly authorised that use in writing. Where an AI-enabled tool is used in a client engagement, the relevant contract, work scope and any applicable client instructions govern the permitted use of client material.

If our practices change so that a computer program uses personal information to make, or substantially assist with making, a decision that could significantly affect an individual’s rights or interests, we will update this policy with the information required by applicable law before implementing that practice.

6. Cookies and similar technologies

Our website uses strictly necessary technologies to make the site work, maintain security and remember essential settings. These technologies may collect limited technical information such as IP address, browser type and session information.

Current website configuration: Infield does not use advertising pixels, cross-site behavioural advertising, session replay, or non-essential analytics cookies on this website.

If we introduce non-essential analytics, advertising or other tracking technology, we will update this policy and provide any notice, choice or consent mechanism required by applicable law before it is activated. You may also control cookies through your browser settings, although disabling necessary cookies can affect site functionality.

7. When we share personal information

We may disclose personal information to the following categories of recipients where reasonably necessary for the purposes described in this policy:

  • people within Infield who need the information to perform their role;

  • carefully selected service providers that support our website, business operations, communications, professional services or secure information management;

  • a client, delivery partner or facilitator where this is necessary to provide a service you or your organisation has requested;

  • professional advisers, insurers, auditors and financiers; and

  • regulators, law-enforcement bodies, courts or other parties where required or permitted by law, or to protect legal rights or safety.

We require service providers handling personal information for us to protect it and use it only for authorised purposes. We do not sell or rent personal information.

8. Overseas disclosures

Current website configuration: We do not disclose personal information collected through this website to recipients outside Australia.

If a future website or service provider arrangement is likely to involve an overseas disclosure of personal information, we will update this policy before that disclosure occurs. The updated policy will identify the likely country or countries of the overseas recipients where practicable, and we will take steps required by applicable privacy law to protect the information.

Client engagements can involve separate technology, data-location and cross-border arrangements. Those arrangements are addressed in the relevant client agreement or engagement documentation.

9. Direct marketing and your choices

We may send you information about Infield’s services, events or insights if you ask to receive it, if you are an existing business contact, or where otherwise permitted by law.

You can opt out of marketing at any time by using the unsubscribe link in an email or contacting us at hello@infieldconsulting.co. We will action your request within a reasonable period. An opt-out does not prevent us from sending essential service, project, billing, security or legal communications.

Where it is lawful and practicable, you may deal with us anonymously or using a pseudonym. This may not be possible where we need your identity to respond to a request, deliver a service, issue an invoice, verify authority or meet a legal obligation.

10. How we protect and retain personal information

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure. Our measures are proportionate to the nature of the information and may include role-based access controls, secure systems, staff and contractor obligations, supplier assessment, and incident-response processes.

No method of transmission or storage is completely secure. If a data breach occurs, we will assess and respond to it promptly. Where required by law, we will notify affected individuals and the Office of the Australian Information Commissioner.

We keep personal information only for as long as needed for the purpose for which it was collected, to meet legal or record-keeping obligations, or to resolve a dispute. We then take reasonable steps to delete it or de-identify it.

11. Accessing and correcting your personal information

You may ask us for access to personal information we hold about you or ask us to correct information that is inaccurate, incomplete, out of date, irrelevant or misleading.

We may373 ask for information to verify your identity and protect other people’s privacy. We will respond within a reasonable period and explain our decision if we cannot provide access or make a correction.

Please tell us what happened, the information involved and how you would like us to resolve the issue. We will investigate and respond within a reasonable period. If we need more time, we will let you know why and when you can expect a response.

If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner at oaic.gov.au.

13. Children

Our website and services are directed to business and professional audiences. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information without appropriate authority, contact us at hello@infieldconsulting.co so we can investigate and take appropriate action.

14. Changes to this policy

We may update this policy when our practices, technology or legal obligations change. We will publish the current version on our website and update the “Last updated” date. Where a change is material, we will take reasonable steps to bring it to your attention.
